Guide to visa supporting documents
A strong visa file is complete, internally consistent and easy for an officer to read. Match name spellings to the passport, keep bank balances consistent with declared income, and translate every page. Civil-registration documents that the destination requires should be certified and legalised at least a week before the appointment.
Each country publishes its own visa checklist, but the structure is consistent: identity, relationship, financial, employment or study, and travel-plan documents. We handle the paperwork, translation and certification layer — never the decision itself.
Who needs this
- Tourist, family-visit and partner visa applicants
- Students and interns
- Work-visa applicants and their dependants
- Business travellers and conference delegates
Document checklist
- 1.Passport with enough remaining validity for the destination
- 2.Completed and signed application form
- 3.Photographs matching the destination's size, background and recency rules
- 4.Bank statements for the required period plus a balance certificate
- 5.Employment letter, business registration or enrolment certificate
- 6.Civil-registration records — marriage, birth, house registration — with translations
- 7.Accommodation and travel evidence, where required
- 8.Travel medical insurance meeting the required cover
- 9.Invitation letter and host documents for visit or business cases
Step-by-step process
1. Download the current official checklist
Checklists change often — use only the version on the official website or from the application centre.
2. Group documents by checklist section
Order the file to mirror the checklist and add a cover index so the officer can review quickly.
3. Translate and certify Thai-language documents
Translate every page including seals, and certify in the format the destination names.
4. Cross-check the whole file for consistency
Names, dates of birth, addresses, income and travel dates must match across every document and the form itself.
5. Book the appointment and file through the official channel
Bring originals even when copies are accepted, and keep the acknowledgement slip for tracking.
6. Track the outcome and be ready for follow-ups
If additional documents are requested, respond within the deadline with certified translations attached.
Typical timing
Document preparation and translation 3–7 business days · legalisation where needed 3–5 business days · processing time is set by each embassy
Common pitfalls
- No one can guarantee a visa outcome; any provider promising approval is a red flag.
- A large deposit landing just before filing invites questions; document the source of funds.
- Form entries must match the attachments exactly; inconsistency is a leading refusal ground.
- Every document must spell your name exactly as in your passport. If the spelling differs, attach the name-change certificate or a transliteration note.
- Torn, corrected or copy-of-a-copy originals are commonly rejected at the legalisation stage — request a freshly issued copy from the issuing authority first.
- Some documents carry a validity window (often 3–6 months from issue) set by the receiving authority. Check it before starting the chain.
Practical tips
- Scan every original to a 300 dpi colour PDF before sending it out, in case you must refile or the destination asks for a soft copy.
- Always prepare two sets — one to submit, one to keep. Many authorities retain the submitted originals.
- If the documents will be used in more than one country, say so up front: the number of sets and the attestation format differ by destination.
- Leave at least two weeks' buffer before your real deadline: Thai public holidays and embassy holidays do not coincide.
- Keep every receipt and acknowledgement slip — they are what lets you trace the file or request a replacement if it is lost.

Comparison: preparing the file yourself vs a prepared file
| Aspect | Do it yourself | Prepared by our team |
|---|---|---|
| Completeness review | Self-checked against the published checklist | Double-checked, with notes on items the destination often re-requests |
| Certification order | Risk of running translation, certification and legalisation out of order | Sequenced to each destination's stated requirement |
| What can be controlled | Only document completeness is within your control | The same — the decision always rests with the receiving authority |
More than a processing agency — an advisor through the whole process
Our team has worked on cross-border documentation for more than 15 years. You get more than a completed errand: we map the correct order of steps from the start, flag the items receiving authorities most often send back, and explain the fastest route that fits your specific case.
- Case assessment before we start — which documents are genuinely required and which are not, so nothing is done twice.
- A dedicated advisor for your case, so you never have to re-explain your situation.
- Step-by-step progress updates and a digital copy of every page at completion for future reference.
- Continued guidance after delivery — when documents need renewing and what the next step in the same matter looks like.
Note: we provide document preparation, translation and certification services. Approval decisions always rest with the receiving authority.
Prefer not to handle this yourself?
We handle the whole chain — document review, translation, certification by a Notarial Services Attorney, MFA legalisation and the destination embassy. Send one set and receive the finished file with a digital copy of every page.
